Request task/project

We do some in-house development/customization of our main software package, and I was wondering if somebody could explain to me how they handle requests like this

Right now they send in a request for an SR, I either approve the change/modification, or deny it. If it is approved, I normally close the SR, and create a project for the modification.
This works, I guess, but once I close the SR, the user that requested this change has no idea what is going on with it. Unlike an SR that updates the user when something is updated or a status change.

I am sure this is not the best way to handle this, so I was wondering if somebody could tell me what their process is for something like this.

I guess what I would envision, or like to see is the ability for us to be able to “flag” a user as a manager, or a person that can request tasks/projects.

Maybe they send an email to another address (other than our “helpdesk” address), or has an option on the portal to request a modification (project/task).

At that point if it was “approved”, they would be associated with that project, and could get updates as to what is going on with it, so they know where it is at for progress.
Maybe you would just notify them for status changes for a task/project, maybe even when activities are update, although that might be a bit too many notifications/updates, so maybe just when a task is updated or changes, as well as the project.

What I do not like about the SR’s is that we use them for more day to day help desk stuff.
A modification could be out there for a month or two, depending on scheduling and importance, and we do not like to “leave” SR’s sitting out there for that long, which is why we close it and create the modification project. But then the user/manager never knows what is going on with that request.

Any thoughts?

Creating Weekly Recurring task..

Ok, I'm trying to address something and I've seen some posts regarding it, but maybe I need something a bit more on point. We have a few weekly tasks - mostly maintenance, that I would like to hop scotch.

What I'm trying to figure out is if I need to create a project to call them, or if I can come up with a way to just setup a recurring task that accomplishes it.. and how.

I want to setup a maintenance cycle that goes:

Department A: 1st Monday
Department B: 2nd Monday
Department C: 3rd Monday
Department D: 4th Monday
Department E: 5th Monday
Department A: 6th Monday

And so on.. so each goes basically every fifth week.

I've created a task, using SysAid 8.1.3, and I can setup who's a member of it, etc. but it always wants to put "current time" (obviously, this will not happen at ten o'clock at night, anywhere), and I can't really setup a hop scotch pattern..

I'm trying to see if such a concept is possible/feasible, or if I would be better noting it in the "notes" on the task.

Does the task need to be assigned to a project, or can it exist on it's own, that's the other question I have.. there are quite a few "basic" tasks that will just occur on a weekly basis that aren't really part of any major project, just required upkeep.

Thanks.

Import Tasks and Detail

Hi,
I am new to SysAid. I need to create 1000's of tasks for a project from existing text downloads. I need to create a new task and add necessary detail of testing.
Is there any way to do this quickly and efficiently? I could not find an import function for the Tasks/Projects area.

We have tried scripting the data in, but the Notes section of the Task page does not respond consistently. Sometimes the Notes expand and sometimes the Notes scroll.

Thanks,
Diana

Reorganizing Tasks order

Hi, we're using the tasks/projects module for a short time now.

When assigning tasks to a project we often think of new tasks that have to be done in a project before any other task. Is there any way to sort those by hand instead of having to think and look what should be done first.
So in short can we reorder the tasks so they don't use the task id?

I think we could catch this one by using due dates etc. but we don't have to or can't do that since the project is just an as it comes project and not time pushed.

I hope i was clear enough :) and thanks in advance.

Regular Notificaions/Reminders

We are trying to figure out a way to send regular reminders to admins that are assigned a project and/or task. Is there any way to send a reminder to the assigned individual for the task if say...they haven't updated the task in "X" number of days? We are using v7.5.06 pro plus edition and would like it if the system could send out reminders to assigned admins like once a week to update their tasks with information.

This would also be useful for SR tickets as well.

thanks!

SR inserted into a task of a projet

Hi,

As I want the client to see the progress for the project we're working on from their portal, I've added a SR into each task. But here I'm really confused. To get a better view in what we're doing all activities are written in TASK--ACTIVITIES But the client won't see it from the portal. So I've been trying to write it down into the SR. Of course the client can se it this way. But the activities are only SR related.

I've been reading sysaid documentation. But I'm still confused.

Thanks for helping

Notification question in Projects/Tasks

If I setup a project, and have several tasks below that project (lets say 3 for now). Then I setup a dependancy (like start to finish) on task #2 that it can't begin until task #1 is completed.
Is it possible to create a custom picklist?

Hello

I would like to create a custom ' multi picklist' on the New Project form, so that I can select from a list of applications that the project will affect. I need to select more than one value from the list.

Is this possible?

I could add a few custom list objects and populate each with the same list of applications, and select a value from each list, but this is not the ideal way to select multiple values of the same type.

Thank you
