Why manufacturing floor issues never become IT tickets

ITSM for manufacturing

A machine operator notices the barcode scanner acting up. It’s not enough to stop the line, so they flag a supervisor and keep working. No ticket gets filed. No record exists anywhere. This is a common challenge that an IT service management solution for manufacturing could solve, but currently it becomes a comment passed along mid-shift, then forgotten.

Multiply that moment across shifts, machines, and a full year, and you get an IT team with no real picture of how often this happens, or what it’s costing.

That’s the actual gap in most plants today. It’s not that IT doesn’t care about shop floor issues. It’s that most ticketing tools were built for someone sitting at a desk. An IT service management solution for manufacturing has to work for the people who don’t sit in one place.

The phone call, the hallway conversation, and why they don’t become tickets

Most operators don’t have a company login. Many never touch a PC during a shift. So when something goes wrong, they do what’s always worked: they tell someone.

In SysAid’s 2026 State of Service Management survey, 32% of manufacturers said they still handle IT issues as walk-ins: no ticket, no system, just a conversation.

That’s not a training problem. It’s a design problem. If the only way in is a web portal, you’ve built a system for the fraction of your workforce who sit at a desk, and left everyone else to report issues the old way, out loud, and then nowhere.

What you lose when it’s not a ticket. The cost of invisible downtime.

An unlogged issue isn’t just invisible. It’s an untracked cost.

When three people report the same jammed printer across three different shifts, and it never becomes a ticket, it doesn’t look like a pattern. It looks like three unrelated one-offs, because as far as your system is concerned, none of them happened.

That gap shows up everywhere. You can’t prove a “minor annoyance” is actually the third failure this month. You can’t tell plant leadership which machine is really driving your downtime, because you don’t have the record. And you’re being measured on uptime while missing half the incidents actually happening on your floor.

Downtime on a piece of equipment is money lost. An issue that never becomes a ticket is a cost that never gets counted, which means it never gets fixed either.

Meeting the shop floor where it already talks

The fix isn’t teaching your whole workforce to use a new portal. It’s meeting them where they already communicate: a chat message, a Teams post, an email, a quick scan of a barcode.

At Söhner, 80% of tickets now come through a self-service portal, because the intake itself finally matches how people actually want to report a problem. “SysAid taught me how good a well-designed ITSM system could be,” says Maximilian Haag, Systems Administrator.

None of this requires ripping out what you have and starting over. It’s not a six-month platform project. It’s giving your floor a way in without asking them to be someone they’re not.

What changes once every issue is captured

Once issues are actually logged, patterns become visible. The jammed printer that got shrugged off three times becomes a problem you root-cause once, instead of one you keep re-solving forever.

“The AI Chatbot for Agents helps me find lost tickets, improve escalation rules, and streamline ticket responses. It is definitely helping to make the system work much more efficiently for me,” says André Gayle, IT Manager at Isratech Jamaica Limited.

AI handles routine tasks on its own: password resets, access requests, and common how-to questions. No technician needed for something that doesn’t need one. That matters more in manufacturing than almost anywhere else, because your team is small and the floor never stops asking.

Once you can see every issue, that invisible cost turns into a number. And a number is something you can actually bring down.

The floor doesn’t need a login. It needs a way in, built for manufacturing.

Every issue that never becomes a ticket is a cost your team can’t see, can’t fix, and can’t prove to leadership. Give your shop floor a way to report problems that matches how they actually work, and the untracked cost becomes a tracked one, and then a shrinking one.
